Pattle Delamore Partners Limited (referred to as “PDP”, “we”, “us” or “our”) are committed to treating personal information with care and respect. 

This Privacy Statement (“Statement”) explains how PDP collects, stores, uses and discloses personal information collected about other parties and applies to all interactions you may have with PDP in accordance with the New Zealand Privacy Act 2020. More specific information about how we handle your personal information and impacts to your privacy may also be provided in disclosures and privacy notices provided when you interact with us. 

For the purposes of this Statement, personal information is any information which directly or indirectly relates to an identified or identifiable individual. It includes names, unique identifiers, location information, financial information and IP addresses. 

If you use our services or supply goods or services to us, details about personal information collection may be provided during the engagement process. Prospective employees or job applicants can find recruitment-related information in the Recruitment Privacy Statement. Employees (and contractors by request) can access details on how their personal information is managed on our intranet. 

We may need to amend this Statement from time to time and those changes will take effect from the date the amended statement is posted on our website. Please refer to this landing page for the latest version. 

Principles for collection, use and disclosure of personal information 

To the extent required by applicable law, whenever PDP collects personal information, we seek to: 

  • Collect your personal information only for specified and legitimate purposes. 
  • Ensure that the information we collect is relevant and not excessive for the purposes for which it is collected. 
  • Process your personal information in a manner consistent with the purposes for which it was originally collected or to which you have otherwise consented. 
  • Take commercially reasonable steps to ensure that your personal information is reliable for its intended use, accurate, complete, and, where necessary, kept up-to date. 
  • Respect your rights to control and access your personal information when appropriate. 
  • Be transparent about what personal information we collect and how it is collected. 
  • Use safeguards to protect personal information. 
  • Not use your personal information for direct marketing purposes without giving you an opportunity to “opt-out”. 
  • Take appropriate measures, by contract or otherwise, to provide adequate protection for personal information that is disclosed to a third party or transferred to another country. 
Personal information we may collect 

Most information PDP collects is provided by you directly through your interactions with us. We always take care to ensure that the personal information we collect is needed to provide our services and run our business. 

Types of personal information we may collect includes: 

  • Your name and contact information including your title, email address, postcode, address, phone number etc. 
  • Information for setting up and managing your account with us (client or supplier), including payment, banking and credit information, insurance details, transaction history, and interactions with PDP representatives. 
  • Information you provide to us directly, including when you send us an email, contact us via our website, interact with us on social media or when you submit a job application. 
  • Information automatically collected through our website usage includes your IP address, the browser and operating system of your device, any search terms entered on our website, and the date and time of access. 
  • Information obtained from third parties through publicly and commercially available sources, which may include data publicly published on social media profiles. 
  • Video and audio footage or still images in our premises which operate video surveillance (wherever you see video surveillance equipment or a sign notifying you that CCTV is in operation). 
Use of your personal information 

We use your personal information, and may share it with others on our behalf, for the following purposes: 

  • If you are a client or a prospective client, to manage your client account, assess projects including preparing proposals and providing our services in accordance with our contract, and record of service history and service preferences. 
  • If you are a subcontractor or subconsultant, to manage your account with us, assess prospective engagements, provide services to our clients and assess performance. 
  • If you are a job applicant or prospective employee, to process your application and recruitment process in accordance with the Recruitment Privacy Statement.
  • To conduct market research, including website usage and improvements, and undertaking data processing, data analysis, or trend analysis. 
  • To review and respond to correspondence you may have with us including any requests or complaints you may make to us. 
  • For business administration and operations. 
  • To develop or improve our services. 
  • To manage and monitor our security risks and improving security and deterring, detecting, and investigating criminal events. 
  • To comply with our insurance, regulatory and legal obligations. 

We may also use your personal information for other purposes, either after notifying you at the time of collection or where those uses are otherwise permitted by law. 

If you have consented for PDP to use your information for marketing purposes we may, from time to time, use your information to send you correspondence relating to our operations, our publications, and invitations to events; or conduct market research. You may opt out of receiving such correspondence at any time by using the “unsubscribe” link in the relevant email or by emailing privacy@pdp.co.nz. 

Sharing your personal information 

In accordance with applicable law, we may disclose your information to: 

  • Our subsidiaries and affiliates. 
  • External service providers and consultants for delivering services to our clients. 
  • Third party service providers to protect the security and integrity of our business, including our databases, systems, and for business continuity. 
  • External service providers or suppliers, such as companies providing data or cloud hosting, technical support, recruitment support, or other services. 
  • Third parties as required to implement joint ventures, alliances, or business collaborations on projects, or in the event of transferring all or part of our business/assets, such as through a merger or sale. 
  • Any person as required by law, including regulatory agencies, if we reasonably believe necessary to comply with the law or to prevent, detect, investigate, or remedy potential misconduct. 
  • Our accounting, insurance and legal advisers. 
  • Any other third party where you have provided your consent. 

We may also need to share your information with trusted third parties to carry on our business. We endeavour to only share your personal information with third parties where we have notified you at time of collection, as permitted by law, or as set out in this Statement. 

PDP will never sell any of your personal information to third parties. 

Security of your personal information 

PDP uses technical and organisational safeguards designed to protect personal information which it holds about you to mitigate the risk of loss, misuse or disclosure. 

Nevertheless, please note that the electronic transmission or storage of personal information can never be guaranteed secure. 

Retention of your personal information 

PDP endeavours to retain your personal information for as long as necessary to fulfil the purposes for which it was collected and to comply with our legal obligations. 

Website cookies and third parties 

Our website uses cookies and local storage to collect and store information about you when you visit our site. Cookies are small data files which may include an anonymous unique identifier. They enable web sites to recognise repeat users, allowing sites to compile aggregated data for content and site improvements. They are typically sent to your browser from a web site and then stored on your device, from where they may send data to other web servers. Cookies and local storage are widely used. 

Cookies are necessary to protect your privacy while disclosing your address details and while logging in, and allow us to provide an optimal experience when using our website. Please note if you choose not to allow cookies, you may not be able to access all the services on our website. 

We also promote our products and services using technology partners, including our social media and analytics partners, as a method of targeting our advertising based on how you interact with our website. This means that you may see ads from us when you visit other websites.

Your privacy rights 

You have certain rights in respect of your personal information, including the right to ask for a copy of any personal information we hold about you, and to ask for it to be corrected if you think it is wrong. To exercise your rights or if you have any questions or concerns about the privacy of your personal information, or would like to report a suspected or potential data breach please contact our Privacy Officer at privacy@pdp.co.nz.
